feat(control-plane): Let users choose their own notification mails - #950
Whether a student gets the stack's notification mails is now the student's choice, and a silent dispatch no longer mutes a stack for good.
/api/email-settings takes requireOperator instead of requireAdmin. The stack's user can switch the shutdown-warning and stack-online mails on or off on the Settings page; guests still cannot.
A silent run mutes that run only.spin-up.yml used to write silent_mode = 'true' to the stack's D1, and nothing reset it. Nexus-Conductor sent every single-user operation silently, so one deploy muted a stack's mails for good, over the toggles on its own Settings page. That is how a DEADS8 test stack sent no mail at all; the spin-up log said "Silent mode enabled *** skipping stack online email". The email step now checks the run's silent_mode input first. toggle-silent-mode.yml stays the deliberate way to mute a whole stack.
Input descriptions: updated in spin-up.yml, spin-up-snapshot.yml and initial-setup.yaml.
Docs: the role table in docs/admin-guides/setup-guide.md and the notification section in docs/user-guides/settings.md.
Existing stacks: a stack that already carries silent_mode = true keeps it until someone switches either toggle on, which clears it (email-settings.js). New stacks never get it from a spin-up.
Tests
control-plane/test/email-settings.test.mjs:
the user can turn the online mail on, which clears silent mode;
the user can turn the mails off;
a guest gets 403 and writes nothing.
With the guard swapped back to requireAdmin, both user cases fail.
tests/unit/test_silent_mode.py:
no lifecycle workflow persists silent_mode (toggle-silent-mode.yml excepted);
the email step reads RUN_SILENT before anything that could send.
Both fail against the previous spin-up.yml.
JS 85 and Python unit 4108 pass. actionlint and mypy are clean.
Local review
CodeRabbit CLI on aeab6a6d: 2 findings, both dismissed.
"A user's opt-out also stops the admin's CC of the online mail." True. Per-recipient preferences are a feature of their own, and an operator sees a stack's state in Conductor anyway.
"Migrate stale silent_mode = true left by earlier spin-ups."
A spin-up's value cannot be told apart from one set on purpose through toggle-silent-mode.yml.
Only existing stacks carry it, and switching a toggle on clears it.
New stacks never get it.
Not yet verified
Not run on a stack yet.
How to test
After the release reaches the template mirror, run upgrade, then setup for deads8-test in Conductor.
As the student (stefan.koch@bg2c.ch), open Settings on the Control Plane and switch Stack Online Email on.
It should save, without the 403 the student got before.
The silent banner should disappear.
Spin up from the Control Plane. The "Nexus-Stack Online" mail should arrive.
Spin up from Conductor with Silent checked: no mail for that run. Spin up again unchecked: the mail comes. The silent run must not have muted the next one.
Summary by Sourcery
Let stack users control their notification emails while limiting silent dispatches to the individual spin-up run.
New Features:
Allow stack users, while still excluding guests, to view and change shutdown-warning and stack-online notification preferences.
Bug Fixes:
Make silent spin-ups suppress only the current run's stack-online email instead of permanently muting the stack's notifications.
Clear persisted stack-wide silent mode when a user enables either notification toggle.
Enhancements:
Clarify notification permissions, silent-mode behavior, and workflow input semantics in the setup and settings documentation.
Documentation:
Update the administrator role table and user settings guide to document user-controlled notification preferences and per-run silent spin-ups.
Tests:
Add Control Plane API coverage for user and guest access to email settings and silent-mode clearing.
Add workflow checks ensuring lifecycle workflows do not persist silent mode and that the email step honors the run-level silent input.
Summary by CodeRabbit
Updated Behavior
Silent mode now suppresses only the stack-online email for the current spin-up run; it no longer changes the stack-wide notification setting.
Stack users can change email notification preferences, while guests cannot. Enabling a notification toggle clears stack-wide silent mode.
Documentation
Clarified which roles can manage notification preferences and teardown settings, and how per-run silent mode differs from stack-wide settings.
Two changes, so that whether a student gets the stack's mails is the
student's choice:
- /api/email-settings takes requireOperator instead of requireAdmin.
The stack's user can now switch the shutdown-warning and
stack-online mails on or off; guests still cannot.
- A silent dispatch mutes that run's stack-online mail and nothing
else. spin-up.yml used to write silent_mode = 'true' to D1 and nothing
reset it, so one silent run muted the stack for good, over the
toggles on its own Settings page. Nexus-Conductor sent every
single-user operation silently, which is how a DEADS8 test stack
ended up sending no mail at all. The email step now skips on the
run's input; toggle-silent-mode.yml remains the deliberate way to
mute a whole stack.
Tests: the user and guest roles against /api/email-settings, and that
no lifecycle workflow persists silent_mode and the email step checks
the run's input first. Both fail against the previous code.
Users can now control their stack notification preferences, while silent spin-ups suppress only the current run instead of permanently muting the stack; authorization, workflow behavior, tests, and documentation were updated accordingly.

Walkthrough
The email-settings API now allows operators to manage notification preferences. Spin-up silent mode suppresses the stack-online email for the current run without changing stack-wide notification settings.
The email-settings API uses operator authorization for GET and POST. Tests cover student preference updates and guest denial. The role table separates notification-mail controls from teardown settings.
The workflow descriptions specify per-run suppression. Spin-up no longer writes silent mode to D1 and exits the email step when inputs.silent_mode is "true". Tests and user documentation describe this behavior.
stefanko-ch/Nexus-Stack#914: Updates requireOperator to asynchronous authorization, which this change uses for both email-settings API methods.

The title names the main change: users can now choose their own notification mails. The PR lets the stack user toggle shutdown-warning and stack-online emails through /api/email-settings (requireOperator replaces requireAdmin). It also limits silent mode to the current run. The title is conventional and specific.

both toggles are already on, users must turn one toggle off and then back on to
clear the existing mute; clarify that the first click alone leaves silent mode

clarify that selecting silent mode requires a workflow dispatch and the
necessary repository access; do not imply that the Control Plane spin-up
endpoint offers this option.

Addresses review comments 4417069271 and 4417069288:
- GET /api/email-settings is now tested too: the stack's user reads
the settings the page shows, a guest gets 403.
- settings.md says how to clear an existing mute when both toggles
already show as on (switch one off and on: only switching on clears
it), and that a silent spin-up is chosen where the workflow is
dispatched, not on the Control Plane's Spin Up button, which passes
no silent input (spin-up.js).
